Confirmation of Booking:
A booking is not confirmed unless the deposit specified has been received by BIG4 BENDIGO, or its nominated agents, within the required time.
It is the responsibility of the person making the booking to ensure the deposit required is paid. Failure to pay a deposit may result in the booking being cancelled without notification. This policy applies to each and every site or cabin booked, whether part of a group reservation or not.
The person in whose name the booking is made is the “responsible person” and as such is liable for any additional fees and charges that arise from occupancy of the site or cabin during the stay of those booked.
The following policies apply to each and every cabin (or site) booked, whether part of a group or not.
Where the arrival date is more than 30 days from booking, payment of any deposit(s) is to be made within 14 days of making the booking and can be paid by cash, cheque, credit card (MC, V), direct debit or money order.
In the case of cheque or money order payment, reservation is not confirmed until the cheque or money order has been met on presentation. Should this bill of exchange not be met on presentation the client concerned will be liable for all bank fees and any other costs incurred. In the case where payment has been made by direct debit the reservation is not confirmed until that deposit appears in our nominated bank account.
For those bookings where the arrival time is less than 30 days from booking, payment of any deposit is to be made on reservation, by credit card.
A deposit will usually be equivalent to the tariff for one night’s stay. There are times, however, where more substantial deposits will be required to confirm a booking, for example over long weekends, Easter and special events.
Payment of a deposit will hold the site or cabin booked for the day of arrival up to check out time the following day, i.e. 10 a.m., irrespective of the amount of deposit paid, and whether or not the reservation was for one or multiple nights. In the absence of any notification, and upon failure to arrive by 10 a.m. the day immediately after scheduled arrival, the deposit will be forfeit and the accommodation booked will be advertised for re-letting, without notice being given.
Tariffs quoted at the time of booking are based on our understanding of the numbers of persons (adults and children) staying on any site, or in any cabin, as specified at the time the booking was made.
If these numbers change you must inform us as the tariff may alter and, due to insurance and OH&S conditions, you may have to change accommodation, as we have maximum numbers able to stay on sites and in cabins. For sites, the maximum number of persons per site is 6. For cabins the maximum number of persons that can sleep in any cabin can not exceed the bed spaces provided. This maximum number includes a baby or small child that may, for example, sleep in a cot and not use the bed space assigned.
Tariffs quoted are current at the time of booking but are subject to review and may alter without notice.
The balance of the account is to be paid, in full, on arrival, by cash, credit card (Visa or Mastercard), EFTPOS. While cheques, direct debit and money order payments are acceptable for deposits, they are not acceptable for payment of the balance on arrival.
Specific cabin or site:
While every effort is made to ensure you have the accommodation booked, whether that is a specific site, or cabin, we do not guarantee your occupancy on arrival of that specific site or cabin as, due to circumstances outside of our control, it may have been necessary to reallocate your booking to another site or cabin.
For sites (unpowered, powered or en-suite) from 11 a.m., for cabin accommodation, from 2 p.m. onwards.
For all accommodation (cabins or sites) depature time is by 10 a.m. at the latest on day of departure. Should you vacate your site or cabin after 10 a.m. on day of departure late departure fees may be applied.
Late Check Out:
Is only available during our OFF PEAK periods, and then subject to availability. Late checkout MUST be arranged at least 24 hours prior to day of departure. Unless part of a special offer, late checkout means anytime up to 12 noon at the latest.
Where late checkouts are possible, for clients wishing to stay after 12 noon, a full day’s tariff will apply unless a later check out is part of a special offer
Applies to each and every site/cabin booked, whether part of a group or not.
Deposits paid by direct debit or credit card will not incur any cancellation fees, if cancellation of the reservation/booking occurs and the deposit is able to refunded as per our policies set out below. For deposits paid by cheque or money order and where a refund is applicable, cancellations will incur a $20 administration fee.
Off Peak Periods
For cancellations occurring more than 3 days prior to arrival, a full refund of any deposit paid less any administration fees (if applicable)
For cancellations occurring 3 days or less to arrival, NO REFUND of any deposit(s) paid.
Peak and/or Shoulder periods (all other times of the year) and for bookings wholly or partially within these periods:
Cancellations notified more than 31 days of commencement of booking, a full refund of any deposit less administration fee, if applicable.
Cancellations notified 15 to 30 days from commencement of booking, a full refund of any deposit paid, less administration fee, if applicable, PROVIDED the period cancelled can be re let in its entirety, otherwise NO REFUND.
This provision means that if you cancel a booking, then that booking has to be let for the whole term of your original booking to another, single, client and not multiple clients/reservations over that cancelled period.
This provision also means that deposits may be held for some time until a booking can be secured to enable a refund.
Cancellations notified 14 days or less to the commencement of a booking, NO REFUND of any deposit paid.
Shortening of Bookings during Peak of Shoulder periods
For bookings wholly or partially within peak or shoulder periods, and where a client still intends to stay at BIG4 BENDIGO Ascot Holiday Park, but shortens the period of their booking, 14 days of less to the commencement of their booking, PROVIDED those days excluded from their initial booking are able to be re let in their entirety (see definition of entirety above), the client shall be entitled to a full refund of fees relevant to those excluded days, OTHERWISE the client shall be required to pay for the whole period of the original booking.
At any time of the year
No refunds for late arrivals or early departures. Late arrivals will be expected to pay for the entire period of the stay booked unless other arrangements have been made, in writing/email, with park management.
No rain checks
No refunds for inclement or overly hot weather or weather conditions not to your liking
No refunds for persons requested to leave the park by park management or an employee acting under their direction or an agent acting at their request.
